The Department of Radiology in the Stanford University School of Medicine practices professionalism, integrity, personal responsibility, and service. We are seeking a personable, highly organized, experienced Administrative Associate (AA) to provide clinical scheduling services for the general call and moonlighting clinical shifts. The AA will work closely with the lead general clinical scheduler to learn the intricate complexities of the clinical shifts and the scheduling preferences of the 50+ physicians who cover these services. To be successful in this role you must be highly detail oriented, inquisitive and proactive, maintain a professional presence and communication style, a skilled negotiator, responsive, and highly flexible with shifting priorities.

This AA will also learn the role of the lead clinical scheduler, who prepares the clinical schedule for 5 clinical divisions on a monthly basis and will serve as a backup for the lead scheduler as needed. Candidates must be collaborative and willing to learn.

The AA will work with expert faculty and trainees, and through their support contribute to better patient clinical care and outcomes. The AA must be able to multi-task and work independently.

Duties include*:

  • Prepare bi-annual 6-month general call schedule for apx 40 full-time physicians. General call includes weekday evening shifts, multiple weekend shifts and holiday shifts.

  • Prepare bi-annual 6-month moonlighting schedule. This includes scheduling with several groups of providers.

  • Perform all administrative functions for general call and moonlighting schedule, including administrative support necessary for the finance team to properly and timely compensate moonlighting physicians.

  • Learn to prepare clinical schedule for body imaging, body imaging MRI, cardiovascular imaging, thoracic, and breast imaging divisions to serve as a backup for the lead general clinical scheduler.

  • Adjust clinical schedule as needed for pre-negotiated physician swaps. Communicate with Associate Chair of Clinical Operations and physician group to identify last minute substitutes, as needed, when scheduled physicians are sick or have family emergencies to attend to.

  • Work closely with faculty affairs to accommodate sabbaticals and other leaves of absence and adjust schedules as needed for changes to clinical commitment rates.

  • Work with finance team and clinical scheduling program manager to review monthly clinical reports and ensure that physicians and scheduled for adequate number of general call shifts compared to their commitments.

EDUCATION & EXPERIENCE (REQUIRED):

High school diploma and four years of administrative experience, or combination of education and relevant experience.

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.

  • Frequently sitting.

  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.

  • Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $33.17 to $43.75 per hour.
