FirstService Residential Special Projects Coordinator in North Palm Beach, Florida

This position provides administrative and supervisory support directly related to property management and vendor coordination. The incumbent oversees vendors on-site, tracks their presence, and monitors project progress. Additionally, they assist in office tasks, maintain records, and handle emergency service duties.

Your Responsibilities:

  • Supervise vendors as they enter and exit the property, logging their presence and tracking progress on assigned projects.
  • Coordinate with vendors to ensure adherence to project timelines and specifications.
  • Maintain accurate records of vendor activity, including arrival and departure times, work completed, and any issues encountered.
  • Communicate regularly with property management and vendors to provide updates on project status and address any concerns.
  • Assist with administrative tasks such as preparing reports, handling mail, and managing supply inventory.
  • Support emergency response procedures and ensure the safety and security of the property.
  • Collaborate with the property management team to address resident inquiries and resolve issues promptly.
  • Follow safety protocols and maintain a safe work environment.

Skills & Qualifications:

  • High school diploma or equivalent; additional education or training in property management or a related field preferred.
  • Previous experience in vendor coordination or property management preferred.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Proficiency in computer software applications such as Microsoft Office.
  • Familiarity with safety procedures and emergency response protocols.

Physical Requirements:

  • Ability to lift 30-50 lbs.
  • Work in an upright standing or sitting position for extended periods.
  • Handle, finger, grasp, and lift objects.
  • Reach with hands and arms.
  • Communicate effectively both verbally and in writing.
  • Navigate the property/building quickly and easily.
  • Work extended hours and weekends as needed.
  • Respond to emergencies promptly.

Schedule: Monday-Friday, 8:00 am – 4:30 pm.

As a full-time associate, you will be eligible for full comprehensive benefits to include your choice of multiple medical plans, dental, and Vision. Compensation: $20 - $22 Hourly.
