Executive Office Specialist

Position Summary:

This position is responsible for supporting Office of Graduate and International Recruitment and Canadian cohort programs Performs difficult and complex work involving a high degree of decision-making and independent judgment to determine an admission status to an undergraduate, graduate, doctoral degree program for international applicants. Specialized functions may include performing complex auditing, statistical reporting, general accounting, processing of electronic data and other duties requiring technical knowledge. Performs additional duties as assigned by administration/management.

Required Qualifications:

High school diploma or GED. Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job.

Preferred Qualifications:

Knowledge of specific software programs, mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP). Demonstrated ability to design/maintain web pages may be desired. Experience with adult/non-traditional international students. Ongoing experience with communicating effectively with people of other cultures. Experience living, working or studying abroad. Experience working in a transnational program. Proficiency in at least one language in addition to English may be desired. Experience in public speaking, and training others. Experience in event planning and project evaluation.

Duties & Responsibilities:

Serves as the primary person managing inquiry responses and leads creation within CRM, via phone and in person. Reviews and edits canned email responses and inputs them into the system; updates the canned responses when changes occur. Receives applications and supporting materials. Processes admission applications for on-campus, international students. Verifies authenticity of transcripts. Reviews and researches international and domestic documents to determine status and equivalencies for all countries, assessing degrees based on systems of education, type, academic structure, type of institution, level of study, years of study, accreditation and recognition. As necessary, completes grade point conversions of varying grading methods from multiple countries including United States. As required, prepares documents for departmental evaluation. Evaluates admission documents and determines an admission status to undergraduate, graduate, or doctoral programs; authorized by many departments to make independent judgments. Navigates and updates student files in appropriate systems to meet enrollment goals, tracks retention activities, and provides information appropriately. Processes initial student applications for the Canadian cohort program to be sent to admissions. Provides information to students, faculty, and staff on the cohort program in Canada and assists in coordinating relevant academic and administrative duties as needed. Assists in the orientation of new students for the Canadian cohort program. Updates web content related to Canadian Programs and International Recruitment contact information, orientation, international events calendar, and programming. Other duties as required.
