Job Description Summary

Provide administrative support for Equal Opportunity Compliance and Title IX and the Academic and Community Conduct Office

Essential Duties & Responsibilities (other duties may be assigned)

● Execute administrative functions in a strictly confidential, professional, and timely manner.

● Provide administrative support for several staff members within the areas of Equal Opportunity Compliance(EOC) and Title IX and Academic and Community Conduct (Conduct).

● Greet and assist a diverse population of customers in a caring, inclusive, confidential, and courteous manner and provide information and/or referral on appropriate programs and services.

● Independently organize and prioritize work assignments and take initiative to solve problems to meet deadlines in a complex work environment; independently respond to routine/non­routine inquiries.

● Provide backup administrative support to the Center for Student Health and Well-being.

● Assist with the logistics of the online training platform/courses for employees and students. This includes running reports, verifying new employees, assigning training, answering employee/student inquiries, troubleshooting issues, etc. Serve as contact for Vector customer service representative.

● Update content on EOC, Title IX, HEAF, and Conduct web pages utilizing current CMS system.

● Assist with maintenance and tracking of confidential employee, student, and operational/ case files regarding harassment and discrimination complaints.

● Assist in case/file retention and destruction in accordance with office retention procedures and university policies.

● Utilize Banner and WebFocus software to update and retrieve employee/student information and to run various reports for statistical tracking, monthly and annual reporting purposes.

● Review, proofread, edit and send correspondence/communications, both in print and online related to department programs and services.

● Provide administrative assistance for departmental committees.

● Initiate and execute inter-departmental paperwork including check requests, inter-account bills, purchasing card reallocations, travel reimbursement and purchase requisitions up to a designated amount with delegated authority from the Executive Director.

● Maintain current knowledge of university policies and procedures and independently respond to complex questions regarding department procedures and services.

● Oversee and coordinate daily administrative functions including receiving, screening and routing telephone calls and mail, coordinating mass mailings, and composing routine correspondence.

● Schedule meetings, reserve meeting rooms, arrange for appropriate resources including audio/visual needs and food service, and prepare agendas as necessary.

● Schedule travel, including completing conference registrations, reserving hotel rooms, booking flights, etc. as required for staff.

● Promote effective communication and work flow within the department.

● Maintain professional memberships and subscriptions for office staff.

● Compile statistical data and prepare reports as necessary utilizing advanced features of word processing, spreadsheet and database software.

● Assist in compiling hire paperwork for departmental employees.

● Assist with special projects, functions, and events.

● Act as Space Coordinator and equipment/supply coordinator for the department and use ASPIRE to update rooms and index assignments.

● Integrate safety practices into daily activities.

● Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.

Required Education, Certifications, Licensures (minimum requirements)

● High school diploma, GED, or an equivalent combination of education and experience from which comparable knowledge and abilities can be required.

Required Experience (minimum requirements)

● 3 years experience in secretarial/administrative work and customer service.

● 3 years experience using personal computers and software packages/web based tools such as Microsoft Office Suite and Google Suite.

● Experience using advanced features of personal computer and software packages.

Desirable Education and/or Experience

● Experience using Banner, WebFocus, Concur, Perceptive Content, and Aspire.

● Experience in a Higher Education secretarial or administrative role.

● Experience updating and maintaining web pages.

● Experience using advanced features of spreadsheet/database software.
