NextGen Federal Systems Senior Executive Assistant in Havre De Grace, Maryland

NextGen is seeking a motivated, career and customer-oriented staff to join our team! This new and exciting program provides Armys Center for Research and Development (RandD) of advanced cyber operations which provides support across multiple operational theatres. We will develop and implement data centric capabilities to fill urgent needs and support end-user operational requirements and provide RandD services including software engineering activities, software engineering support, and technology modernization and insertion. This will enable our customer to provide effective intelligence command and control tools.

The Executive Assistant will assist the programs government senior leadership with communications, information management, task organization, and scheduling activities. They will also work with the programs government stakeholders to coordinate program activities.

Location: Aberdeen Proving Ground, MD

Responsibilities

  • Management and tracking of day-to-day operational tasking and activity planning for senior leadership
  • Assisting with managing and tracking DoD taskers
  • Reviewing, vetting, and prioritizing formal program communications on behalf of senior leadership
  • Responsible for ongoing meeting schedules and notifications
  • Manage meetings, coordinate distribution of meeting briefs, and collect meeting minutes. Make sure participants are aware of any assigned meeting follow-on actions
  • Proactively manage executive calendars with attention to accuracy, detail, and allocation of time to promote productivity. Recognize the need to resolve conflicts, orchestrate change, and reprioritize as appropriate.
  • Author, review, and edit drafts of notes, internal memoranda, and official correspondence. Track and maintain visibility on taskers and open actions based on inputs and guidance from senior staff in the office.
  • Track and manage completion of key deliverables, follow up on outstanding items, understand organizational priorities, identify process improvements to create efficiency.
  • Support the programs equipment and software purchasing activities. Coordinate and track approvals, purchases, deliveries, and distribution of program software and equipment with appropriate specialized staff
  • Coordinate all activities for secure facility visits including the required approvals and access verifications with appropriate program security specialists
  • Provide support for the programs day-to-day business activities
  • Ability to ingest summarize and publish meeting minutes for senior leadership

Qualifications

  • Experience supporting business activities in an office setting
  • Has performed meeting coordination using email schedule tools (Microsoft Outlook)
  • Intermediate level experience with MSO365 Microsoft Word, Excel, and PowerPoint, MS Teams, along with knowledge of SharePoint, and associated planning management tools.
  • Excellent executive level communication and writing skills
  • Experience with Senior Executive Government formal stakeholder communications
  • 10 years of work experience with a Bachelors degree
  • Must have a DoD Secret Clearance, Top Secret is preferred
  • Familiarity with DoD policies, procedures, and operations desired
  • Experience with D0D program administration
  • Experience with ATAAPS, DTS or other government systems
  • Ability to foster strong relationships, and build trust and respect.
